  3. The National Treasury
  4. Kenya Secondary School Heads Association

How to Register on NEMIS Portal:

To join the NEMIS community and gain access to its invaluable resources, follow these steps:

  1. Visit the NEMIS website (preferably using a computer).
  2. Click on the “Register” option located on the left side of the page.
  3. Fill out the registration form on the subsequent page with the required details, including your Organization (Ministry of Education, KNEC, TSC, KICD, KEMI, CEMASTEA, ICTA), User Name, Sur-Name, Other Name, Gender, ID Number, Job Title, E-mail, Mobile Phone, and a New Password.
  4. Click “Save” to submit your information.
  5. A confirmation message will appear upon successful registration, instructing you to wait for your supervisor to activate your account.

Note: School heads should not use this process for registration. Instead, their access is facilitated through the Sub County Directors of Education or the County Director of Education.

Logging in to NEMIS Portal:

Follow these simple steps to log in to the NEMIS Portal:

  1. Visit the NEMIS Portal.
  2. Scroll down and click on the “Login” option.
  3. Enter your username, password, and NEMIS pin (provided in the registration confirmation message).
  4. You are now logged in to the NEMIS portal, ready to explore its functionalities.

Exploring the NEMIS Portal Modules:

The NEMIS Portal comprises four primary modules, each containing various sub-modules that cater to specific needs. Let’s delve into these modules and their key functions:

1. Institutions Module:

This module focuses on capturing registration and physical details of educational institutions. It consists of the following sub-modules:

  • Institutions Registration: Facilitates the registration of existing or new schools with the Ministry of Education.
  • School Infrastructure: Monitors equipment and fixed assets in different schools.
  • School Utility: Records utility names and provides brief descriptions.
  • Co-Curricula: Captures co-curricular activities for each academic year and records the highest level achieved.
  • Teaching and Learning Material: Stores course materials and supplementary resources for students.
  • Emergency Reporting: Enables schools to report data regarding any disaster affecting their facilities.

2. Learners Module:

The Learners Module encompasses comprehensive details about learners, including enrollment, performance, progression, and transitions. It comprises the following sub-modules:

  • Unique Personal Identifier: Allows learners to input their birth certificate, ID number, or Alien number, generating a Unique Personal Identifier (UPI) automatically.
  • Learner Registration: Captures contact details of learners.
  • Student Mobility: Tracks learner details, mobility types, discharging institutions, and new institutions during transitions.
  • Performance Progression: Records performance details of learners upon completion of specific levels such as Primary or Secondary education.
  • Learner Talent: Captures information regarding learners’ talents and areas of interest.

3. Staff Module:

The Staff Module serves as a comprehensive database for individuals working in the education sector. It consists of the following parts:

  • Teachers and Non-teaching Staff Registration: Facilitates the registration of teachers and non-teaching staff members within educational institutions.
  • Teacher Mobility: Tracks transfers of teachers between institutions and provides a history of teacher transfers.
  • Teaching Areas: Records the subjects or units that teachers are responsible for teaching in their respective institutions.
  • Study Areas: Captures the specialized areas of training for teachers.
  • Teachers’ Responsibilities: Documents the specific duties assigned to teachers within educational institutions.

4. Finance Module:

The Finance Module plays a vital role in tracking income and expenditure in educational institutions. It encompasses the following sub-modules:

  • Fees: Captures fee amounts and approved fee items for institutions.
  • Capitation: Sets up disbursement of funds (capitation) to public primary and secondary schools within a specific term and calendar year.
  • Income Returns: Records all amounts received by the institution within a given year.
  • Development Fund: Captures details of funded projects in institutions during a specific financial year.
  • Expenditure Returns: Tracks the amount spent, milestones achieved, and the percentage of completion for various projects.

Password:

This interface allows users to change their password in case of forgotten credentials.

Reports:

The Reports interface enables users to generate specific reports related to their responsibilities. These reports can be exported in a prescribed format (e.g., Excel) for advanced analysis.
